These will help you know in advance your responsibilities for each serving position! 

Greeter

Greeters - teamPorch Training Checklist
 
Welcome to teamPorch!
 
As part of the team, people will judge The Porch on how well you do your job and how you treat them!  They will make up their mind as to whether or not they will come back in the first 7 minutes!  Do your part to make sure everything is tidy and ready….and don’t get distracted from your job by talking to friends!

  • It is VERY important to make sure you look nice! (you can’t fix ugly)  Make sure that your clothing is appropriate, modest, and remember you are representing The Porch and God!
 
  • It is VERY important that you arrive on time and that you are ready on time!
 
  • It is VERY important that you are friendly and reach out to any new people that might need help or need to feel welcome!
 
  • It might be wise to read and be familiar with the other positions just in case!
 
  • We typically have practice at 7:30am and start the run-through at 8:40am. 
 
  • Please read and check off each item on the “weekly” checklist EVERY Sunday.

GOAL – Ensure that the Sunday service experience is welcoming, organized, & done with excellence in order to leave guests with a pleasant & lasting first impression.
 
Before Service Starts:
  • Arrive 30 minutes before the start of service (20 minutes before additional services) 
  • Go over and check off your “weekly” check list as a quick refresher
  • Find name badge and put it on
  • Look at your area’s first impression and clean up 
  • Be ready to help Ushers and Next Steps if needed.
  • Attend the VIP vision meeting 
  • Help put inserts in bulletins
  • After your area is ready for guests, ask Ushers and Next Steps if they need any help
  • One greeter should stand at the front door, open it as guests arrive, and hand out bulletins. 
  • One greeter should stand at the lobby door handing out additional items
  • If weather is nice, open both doors the whole time
  • If raining, 1 greeter should be ready to assist guests w/ umbrella (on stairs or by front door)
  • Welcome everyone with a smile, eye contact, and handshake
  • Make sure to say “Welcome to the Porch!” or “Good morning!” 
  • Direct families with kids to take their kids downstairs

During Service:
  • Close sanctuary doors at 30 seconds left in the countdown, but remain in the foyer to greet any guest that arrive late 

  • Greeters should stay in lobby until the start of the second song (after meet and greet). 
  • Leave bulletins on the next steps center 
  • Keep an eye out for anyone arriving late who needs greeted
  • Be on the look out for families with kids and let them know we have age appropriate services downstairs!

​After Service:
  • Open the doors as guests leave (beat EVERYONE out!)
  • As service ending return to you post until the next shift arrives to take your place
  • Say “Goodbye” at the door or “Have a good day!” as they leave
  • 3 minute rule; talk people you don’t know for the first three minutes after service.
  • You’ll be the last thing they remember….so be nice!

GOAL – Ensure that all guests feel welcomed, comfortable, informed, & blessed with excellence, to encourage their next step of connection by: 
 
Next Steps (1) –  Before Service Starts: 
  • Arrive before 40 minutes before the start of first service. 20 minutes before the start of additional services.
  • Be sure to wear the appropriate color porch shirt.
  • Go over and check off your “weekly” check list as a quick refresher 
  • Find name badge and put it on 
  • Look at your area’s first impression and clean up  
  • Remove any random items from the next steps center & find their home 
  • Throw away any trash, old bulletins or used cups 
  • Empty trash cans in the bathrooms, refreshment center, and lobby.  Clean lids if needed.  
  • Make sure bathrooms are clean and stocked with paper towels & toilet paper  
  • Turn on lights in bathroom    
  • Lightly spray air freshener in the lobby and the sanctuary – located under next steps center
  • Vacuum and sweep if needed 
  • Turn on lights on the porch vision wall and lamp in foyer  
  • Turn on the coffee machine  
  • Restock all coffee items 
  • Refill water container 
  • Stock donuts 
  • Place some cups next to the coffee to make them easy to notice and locate 
  • Look for and locate supplies, usually in refreshment center/upstairs or in the attic. 
  • Wipe down refreshment center and next steps center (if needed)  
  • Put announcements into bulletins & ask for help from ushers or greeters if needed.  
  • Place extra bulletins on next steps center  
  • Stock all business cards, baptism forms and other documents   
  • Familiarize yourself with what is available at the next steps center  
  • BE familiar with location and prices of t-shirts, bracelets, hoodies, glasses.  Red Porch shirts are traded for a filled out next steps card only (or $10)
  •   Make sure porch shirts and swag bags for families are ready.
  •   Attend the VIP vision meeting 15 minutes before the start of service.
 
Service Starts: 
  • Stand at or near the next steps center 
  • Welcome, inform and talk to new people!  (Focus on NEW people!) 
  • Direct children where to go.  (0-4 downstairs, 5-8 stay up just for worship)
  • Take your seat at the start of the second song. (after meet and greet)
  
After Service: 
  • Stand behind the next steps center, until replacement arrives to relieve you. 
  • Answer questions and hand out Porch shirts
  • Smile & look for people you don’t know
  • After the final service of the day, place any remaining donuts in the box and take to the kitchen.
  • Turn off lights of the vision wall letters and lamp in foyer 
  • Turn off coffee machine  
  • Let your leader know if any supplies are low or needed

GOAL – Ensure all visitors are able to find a seat, that their worship needs are met with excellence, and smoothly collect & accurately record of all the Sunday tithes & offerings. 
 
Before Service Starts:
¨  Arrive 30 minutes before the start of service (20 minutes early for multiple services) 
  • Go over and check off your “weekly” check list as a quick refresher
  • Find name badge and put it on
  • Check overall first impression of your area
  • Make sure next step Cards and pens are stocked in ALL plastic seatback holders
  • Chairs should be set up so that every other chair has a plastic holder on the back.
  • Make sure 2 Bibles are under each of the first row chairs.
  • Make sure all other chair racks have 1 Bible
  • Each front row chair should have a pen on the seat.
  • The end of each row should have a tissue box
  • Cover back row with a black cover.
  • Be ready to help Greeters and Next Steps if needed.
  • Attend the VIP vision meeting
  • Stand just inside the sanctuary doors
  • Make sure to SMILE and say “Welcome!” or “Good morning!”
  • Help guests find a seat before service
  • Say, “Follow me to your seat” then direct them to their seat
  • Try to fill in the front of the sanctuary first with high energy porchPartners
  • Seat people from front to back.
  • Feel free to nicely ask people to scoot in towards the middle of rows
  • Be ready to open the covered row, pull down/put up extra chairs, to keep us around 75% full
  • Prepare “survival basket” with a Bible, 4 next steps card, 4 pens, 4 sermon illustrations, and 4 bulletins. 
 
Service Starts:
  • After the first song, pass down next step Cards during the intro video
  • Get them from the next step center or your “survival basket” not the seatbacks!
  • Take your “survival basket” to your seat at the start of the second song (after meet and greet) 
  • Keep an eye out for anyone arriving late who needs seated
  • Pass out any bulletins, pens, Bibles or other things that are needed for the service
  • Please do NOT get up during the invitation.
  • Help with the offering collection after the sermon
  • Do NOT pass the plates until you give people time to fill out next step cards
  • Place all tithe cash and checks in the tithe box at the back of next steps center
  • Place collected next steps cards behind the WELCOME sign on the next steps counter

After Service:
  • ONLY talk to new people or people you don’t know well for 3 MINUTES after
  • Replace back row seat cover and signs if they were removed.
  • Return to you post until the next shift arrives to take your place

Worship Team –
  • Arrive at 7:30 am (VIP meeting @ 8:45am and 10:15am) 
  • Go over and check off your “short” check list as a quick refresher
  • Prepare by practicing the set at least once during the week
  • Listen to the order (chorus/verse) of song & what your instrument plays
  • If not done, pull your chord charts and others if you have time
  • Have your instrument tuned, powered on or ready by 7:30
  • During practice, take physical notes in pencil of any changes or trouble spots
  • Attend the VIP vision meeting at 8:45.
 
If you have down time, Help make sure things are organized and ready
  • (Bibles, chairs, connection cards, trash…communion if needed).
  • Be on stage 2 minutes before service
  • Use your music abilities to serve during praise/worship
  • Lead as an example by taking notes and listening to the sermon
  • Participate in worship, even on your days off
  • Be aware of and follow the dress code
  • Turn on power strips if needed off
  • Keep a good attitude
  • Be willing to make any changes requested

GOAL – Ensure Sunday service presentations from start to finish are done with excellence as an enhancement to the service creating a distraction free environment for people to connect with God in person or online.
 
Before Service:
  • Arrive before 8:30 (VIP meeting @ 8:45) 
  • Go over and check off your “weekly” check list as a quick refresher
  • Find name badge and put it on
  • Locate order of service and take it to the booth
  • Look over the order of service for important information
  • Turn on projector, THEN hook up computer, THEN open ProPresenter
  • Review worship slides as the band runs through them to get familiar w/order
  • Make slide or pad key changes as needed.
  • Look through the sermon notes and make sure all slides make sense
  • Test ALL videos during band break (8:10)
  • Begin playing pre-service slides and music after sound check
  • Attend VIP meeting (8:45)
  • Play the 5 minute countdown at 8:25,9:25, and 10:40
  • Everyone should be in place at 2 minutes.
  • Begin 2 minute music
  • Be ready to add a couple minutes, if band is not ready yet
During Service:
  • Run slides during praise and worship
  • Be sure to click next slide as band sings last word on the current slide
  • Ensure smooth key transitions between songs
  • Play music as people are greeting each other.
  • Play INTRO video as soon as people are instructed to be seated
  • Run PowerPoint during praise/worship and the sermon
  • Be sure to stay attentive to the sermon
  • Play pad during invitation if no one is playing on stage
  • Be ready with worship slides for invitation song when Erika gives signal
  • Play playout music after invitation to transition to life change if there is no video
  • Piano will play through if there is a video
  • Play life change slide
  • Begin pre-service slides and music as soon as Pastor dismisses service
Between Service:
  • Make any necessary changes to prepare for the next service
  • Repeat process beginning with 5 minute countdown
After Service:
  • Clear all in propresenter
  • Quit propresenter
  • Put the computer to sleep. DO NOT shut down
  • VERY IMPORTANT: THERE SHOULD NEVER BE SILENCE. ALWAYS BE READY WITH MUSIC TO AVOID ANY AWKWARD SILENCE
